COMMUNITY USE OF FACILITIES POLICY
The Community
The Community Use of Facilities Management Committee comprises:
- The Principal, or his/her nominee
- Staff representative
- Parent representative
- Finance committee representative
It is responsible for determining policy and procedures for the hire of school facilities to community users, that consistent with the NSW Department of Education and Training’s Community Use of School Facilities Policy Statement and Implementation Procedures and Guidelines, and which are not detrimental to the school’s goals and programs.
It coordinates all bookings of the Oval, Tennis Courts, Cricket Nets, Classrooms and Hall, and all after school hours bookings of these and other facilities that are available for hire.
In general, specified classrooms, tennis courts and the oval are available for hire. Any other spaces/areas are to be negotiated on an individual basis.
Hire Procedures
Each preliminary booking is subject to a satisfactory Community Use Agreement being signed between the hirer and the Principal. Agreements are for a maximum period of twelve months.
Priority of Use
Priority for use of facilities is:
i school use
ii permanent community bookings
iii casual community bookings
Should the school require use of a regularly booked facility, the school undertakes to give a minimum of four (4) weeks notice to the hirer.
Fees
- A schedule of fees can be obtained from the school office
- A refundable bond is required
- Fees must be paid in advance - on receipt of the invoice, prior to the commence-ment of each term.
- Additional fees are payable in special circumstances
- Community Groups (non-profit making) may negotiate fees with the Principal for special events.
Insurance
All community users must satisfy requirements in respect of full indemnity insurance covering ten million dollars ($10.0000.00). Where applicable, Workers Compensation insurance requirements must also be met. School requires to site original of insurance policy and a copy of policy must be kept for school file.
- Hirer’s Responsibilities
- All doors closed and locked where possible
- Lights switched off, leaving middle bay of lights on only
- Alarm switched on
- Outside steel gates locked
Equipment and Storage Hire
- No storage space is available
- No Ryde East School equipment/sporting equipment can be hired
Security
Should any problems of a security nature arise, the hirer must contact the
school’s official security service. Phone 1300 880 021.
Condition of Premises
The hire premises must be left clean and tidy. Failure to do so will incur a cleaning fee and/or rubbish removal fee. The school committee must be notified within 24 hours of any damage/breakages. Payment for damage/breakages is the responsibility of the hirer. If breakages or damage occur it is the responsibility of the hirer to have a contact person available on Monday morning to liaise with school personnel.
Accident Procedures
If an accident occurs, it is the responsibility of the hirer to provide Ryde East School with an accident report within seven (7) days of the event. Note: appropriate form is available from the school office.
Special Conditions
- Doorways to any room or hall are never to be blocked or obstructed by the storage of any equipment (Fire Regulations)
- Footwear or equipment likely to damage any floor or floor covering is prohibited
- No food or drink is to be taken into the rooms without prior permission
- No smoking is permitted on the school premises (including grounds)
Entertainment Provisions

- No illegal activities of games of chance or gambling are permitted
- Evidence of copyright permission is required where applicable
- Restrictions set by the NSW Department of Education and Training and Ryde East School must be adhered to regarding the consumption of alcohol and screening of films and videos
